Essential Duties and Responsibilities:
Duties may include, but are not limited to, the following:
Grant Research and Identification:
Conduct research to identify potential grant opportunities from government agencies, foundations, and other funding sources.
Monitor trends and changes in grant funding and regulations. Somewhere there needs to be added working with tribal committees.
DeDevelop a thorough understanding of the Tribe’s history, culture, community needs, and strategic priorities to ensure grant proposals and management reflect tribal values and long-term goals.
Develop and maintain a database of potential grant opportunities and deadlines.
Proposal Development:
Write, edit, and submit compelling grant proposals that align with the Tribe’s mission and objectives.
Collaborate with SMEs (subject matter experts) and/or department program staff to gather information, data, and project details needed for proposals.
Prepare and submit grant applications and proposals in accordance with funder guidelines and deadlines.
Collaborate regularly with Tribal Committees, Elders and leadership to align funding strategies with community priorities and cultural protocols.
Facilitate grant-related meetings and presentations with Tribal Council, committees and community stakeholders.
Grant Management:
Oversee the administration of awarded grants, including tracking expenditures and ensuring compliance with grant terms and conditions.
Monitor timely drawdowns, in collaboration with the finance department.
Prepare and submit progress reports, financial reports, and other required documentation to funders. Both Program Directors and Grant Manager prepare the report for submission, but the Grant Manager submits after they do a accuracy check.
Work closely with cross-functional teams to achieve the Tribe’s goals.
Collaborate with team members to deliver high-quality results.
Coordinate with finance and department program teams to ensure accurate and timely reporting.
Contribute to a supportive and inclusive team culture.
Relationship Building:
Cultivate and maintain relationships with current and potential funders.
Act as a liaison between the Tribe and funding agencies, addressing inquiries and providing updates on grant activities.
Organize and participate in meetings, events, and presentations to foster relationships and promote the Tribe’s work.
Strategy and Planning:
Develop and implement a grant-seeking strategy aligned with the Tribe’s goals and priorities.
Provide guidance and support to staff in identifying and pursuing grant opportunities.
Monitor and evaluate the effectiveness of the grant-seeking strategy and adjust as needed.
Database Management:
Develop, implement, and maintain a centralized database system to record all grant-related data (applications, awards, reports, and payments).
Ensure the accuracy and integrity of data entered into the database.
Generate reports from the database for management, funders, and stakeholders. Analyze grant data to identify trends, opportunities for funding, and areas for improvement.
Compliance and Reporting:
Ensure compliance with all federal, state, and organizational regulations related to grant funding.
Maintain accurate records of grant applications, awards, and expenditures.
Conduct periodic reviews of grant-related policies and procedures to ensure adherence to include the tribal grant policy protocols.
Compliance & Non-Profit Reporting
Ensure all grant activities comply with federal, state, tribal, and local regulations governing non-profit organizations.
Maintain accurate documentation required for 501(c)(3) compliance, including financial records, board-approved policies, conflict of interest disclosures, and annual reporting requirements.
Coordinate with Finance and Executive Leadership to support timely submission of IRS Form 990, annual audits, and any other mandated non-profit filings.
Develop and monitor internal controls to ensure grant funds are managed in alignment with non-profit accounting standards (GAAP) and organizational policies.
Track and report on grant outcomes, program effectiveness, and restricted fund usage to ensure transparency and accountability to funders, auditors, and the governing board.
Provide training and guidance to program staff on compliance requirements specific to non-profit operations and grant-funded activities.
Requirements
Under the supervision of the Chief Financial Officer (CFO), the Grants Development Manager is responsible for identifying, securing, and managing grant funding to support the Tribal Government programs and initiatives. This role involves researching potential funding sources, writing grant proposals, and ensuring compliance with grant requirements. The Grants Development Manager will work closely with various departments to align grant opportunities with the Tribe’s goals.
