Description
Reporting to the Vice Chancellor for Planning and Budget/CFO, the Associate Vice Chancellor of Auxiliary Services provides leadership for a portfolio of auxiliary units and the centralized auxiliaries finance and administration team. The role ensures operational excellence, financial accountability, and compliance across assigned units including, but not limited to, Transportation & Parking Services, Early Childhood Education Center, Hospitality Services & Catering, Retail Services, Auxiliaries Systems, and the University Store, while overseeing financial and administrative operations for all campus auxiliary services.
The incumbent:
Directs and manages assigned auxiliary units to achieve service and financial goals.
Leads the centralized auxiliary finance and administration team to monitor budgets, prepare reports, and support financial planning for Housing, Dining, and other auxiliary services.
Implements approved operational plans and ensures compliance with campus policies.
Collaborates with campus stakeholders to resolve issues and improve processes.
Participates in divisional meetings and provides recommendations to senior leadership.
KEY RESPONSIBILITIES
Operational Oversight of Assigned Auxiliary Units
Provides leadership and direction for Transportation & Parking Services, Early Childhood Education Center, Hospitality Services & Catering, Retail Services, Auxiliaries Administration, Auxiliaries Systems, and the University Store.
Supervises unit directors/managers, sets operational priorities, and ensures alignment with divisional goals.
Monitors service delivery, customer satisfaction, and operational efficiency.
Reviews and approves operational budgets for assigned units and ensures compliance with UC and campus policies.
Implements approved operational plans and evaluates performance metrics for continuous improvement.
Financial and Administrative Oversight for Auxiliary Services
Directs the centralized finance and administration team responsible for supporting all campus auxiliary services, including Housing, Residence Education, Dining Services, and Auxiliary Facilities.
Oversees preparation of financial reports, budget monitoring, and variance analysis for all auxiliary units.
Coordinates with the Vice Chancellor for Student Affairs and Enrollment (VC/SAE) office to provide financial reporting and administrative support for Housing and Dining Services; operational and financial decision-making authority for these units resides with the VC/SAE.
Provides guidance on financial planning, forecasting, and resource allocation to support campus objectives.
Ensures adherence to financial controls, reporting standards, and audit requirements.
Develops processes and tools to improve financial transparency and operational efficiency across auxiliary services.
Strategic & Operational Planning
Collaborates with the Vice Chancellor, divisional and campus leadership to implement approved operational strategies.
Provides recommendations on resource allocation, revenue optimization, and cost containment for auxiliary operations.
Participates in divisional and auxiliary planning sessions and contributes to short- and mid-term operational goals.
Aligns unit-level plans with broader divisional priorities and campus objectives.
Stakeholder Collaboration & Issue Resolution
Serves as liaison between auxiliary units and campus leadership to address administrative and financial issues.
Partners with Housing and Residence Education, Dining Services, Auxiliary Facilities and other campus units to resolve cross-functional challenges.
Facilitates communication and collaboration among unit directors, campus departments, and external vendors.
Represents auxiliary operations in division and campus meetings and provides updates on financial and operational performance.
Compliance & Continuous Improvement
Ensures compliance with UC system policies, campus regulations, and applicable laws.
Identifies opportunities for process improvement and operational efficiency within assigned units and centralized finance/admin functions.
Implements best practices for risk management, internal controls, and customer service.
Supports staff development initiatives and promotes a culture of accountability and excellence.
Requirements
EDUCATION and REQUIREMENTS
Bachelor's degree in related area.
Advanced degree in related area. (Preferred)
6 years of related experience or 10 years of equivalent related experience/education.
CRITICAL KNOWLEDGE AND SKILLS
Proven track record of leading and managing multiple teams, including full-time career represented and non-represented members.
Proven track record of successfully creating and establishing new service units tailored to meet the evolving needs of the campus community.
Demonstrated ability to inspire, mentor and develop team members across various levels and roles.
Demonstrated organization, assessment, problem solving, negotiation and decision-making skills with expertise in clarifying and resolving conflict situations and developing attainable goals, policies and procedures.
Strong collaborative skills with the ability to work effectively with diverse groups including faculty, staff and students.
Extensive experience in strategic planning and project management with demonstrative abilities in goal setting, and implementation of initiatives that align with divisional objectives.
Proven experience in evaluating complex issues and the abilities and focus in seeking innovative and effective solutions.
Proven ability to understand and interpret complex materials to formulate and present oral and written material in a logical and comprehensive manner.
Proven ability to adapt to changing environments and manage multiple priorities in a dynamic educational landscape along with maintaining the utmost confidentiality in sensitive situations.
